We are dedicated to providing a safe and supportive space for the community to be creative. In order to facilitate this for everyone who is a visitor, student or teacher the following policies apply. Whether in our studio space or engaging with our brand online.
Enrolment & Booking Policy
1. Purpose
This policy outlines the terms and conditions for enrolling and booking into classes, workshops, and programs delivered by Artz Academy.
2. Booking Process
- All participants must book into classes prior to attendance.
- Bookings can be made via:
- Eventbrite, or
- Direct enrolment for term-based programs
- Places are not guaranteed without a confirmed booking.
3. Confirmation of Enrolment
- An enrolment is confirmed only when:
- Full payment has been received, and
- A confirmation email or ticket has been issued
- Participants must retain proof of booking.
4. Class Capacity
- Class sizes are limited to ensure quality instruction and safety.
- Artz Academy reserves the right to:
- Refuse enrolment once capacity is reached
- Cancel or reschedule classes where minimum numbers are not met
5. Age Requirements
- Each class is designed for specific age groups.
- Participants must meet the stated age requirements at the time of booking.
- Artz Academy reserves the right to refuse attendance if age requirements are not met.
6. Term Enrolments and Casual Attendance
- Term Enrolments:
- Provide a secured place for the full duration of the program
- Require commitment for the full term
- Casual Bookings:
- Available where specified
- Subject to availability and may not be offered in all classes
7. Transfers and Changes
- Bookings are not transferable to another participant without prior written approval.
- Requests to change sessions must be submitted in advance and are subject to availability.
- Artz Academy is not obligated to accommodate changes.
8. Waitlists
- Where classes are fully booked, a waitlist may be offered.
- Waitlisted participants will be contacted if a place becomes available.
- Places offered via waitlist must be confirmed within the specified timeframe.
9. Attendance and Arrival
- Participants are expected to arrive on time.
- Late arrivals may result in missed instruction and will not be extended beyond scheduled class times.
- For participants under 18 years:
- A parent or authorised guardian may be required to sign participants in and out.
10. Refusal of Enrolment
Artz Academy reserves the right to refuse or cancel an enrolment where:
- Information provided is incomplete or inaccurate
- The participant does not meet age or program requirements
- The enrolment is deemed unsuitable for the class environment
11. Policy Acknowledgement
By completing a booking, participants (or their parent/guardian) acknowledge and agree to comply with this Enrolment and Booking Policy.
Payment, Refund & Cancellation Policy
1. Purpose
This policy outlines the terms relating to payments, refunds, cancellations, and class changes for all Artz Academy classes, workshops, and programs.
2. Payment Terms
- All classes must be paid in full at the time of booking unless otherwise agreed in writing.
- Bookings are not confirmed until payment has been received.
- Artz Academy reserves the right to deny entry to participants with unpaid bookings.
3. Pricing
- Pricing is listed per class, workshop, or term and is subject to change.
- Any promotional or introductory pricing is limited to the stated offer period and conditions.
4. Refund Policy
General Refunds
- Refunds are not provided for change of mind.
- Refunds may be provided where required under Australian Consumer Law, including where:
- A service is not delivered as advertised
- A class is cancelled by Artz Academy and no suitable alternative is offered
Participant Cancellations
- Cancellations made more than 48 hours prior to the class may be eligible for:
- A class credit, or
- Transfer to another session (subject to availability)
- Cancellations made within 48 hours of the class are not eligible for refund or credit
Term Enrolments
- Term enrolments are non-refundable once the term has commenced.
- Missed classes within a term are not refundable or transferable unless exceptional circumstances apply.
5. Credits and Transfers
- Approved credits must be used within 3 months unless otherwise stated.
- Credits are not redeemable for cash.
- Transfers between sessions are subject to availability and must be requested in advance.
6. Missed Classes
- Missed classes are not refundable.
- Make-up sessions are not guaranteed and are offered at the discretion of Artz Academy.
7. Studio Cancellations
Artz Academy reserves the right to cancel or reschedule classes due to:
- Insufficient enrolments
- Instructor illness or emergency
- Venue issues or unforeseen circumstances
Where this occurs, participants will be offered:
- A transfer to another session, or
- A credit, or
- A refund where no suitable alternative is available
8. Late Arrivals and Early Departures
- Late arrivals may miss important instruction time.
- Classes will not be extended to accommodate late arrivals.
- No refunds or credits are provided for late arrival or early departure.
9. Exceptional Circumstances
- Requests for refunds or credits outside this policy may be considered in exceptional circumstances (for example medical emergencies) and must be supported by appropriate documentation.
- Decisions are made at the discretion of Artz Academy.
10. Payment Disputes
- Any payment disputes must be raised in writing within 7 days of the transaction.
- Artz Academy will review and respond within a reasonable timeframe.
11. Policy Acknowledgement
By making a booking, participants or their parent or guardian acknowledge and agree to this Payment, Refund and Cancellation Policy.
Health & Safety (WHS) Policy
1. Purpose
This policy outlines Artz Academy’s commitment to providing a safe and healthy environment for all participants, staff, volunteers, and visitors, in accordance with Work Health and Safety legislation applicable in Queensland.
2. Duty of Care
- Artz Academy has a duty to take reasonable steps to ensure the health and safety of all persons attending classes and activities.
- All participants, staff, and visitors are expected to take reasonable care for their own safety and the safety of others.
3. Safe Use of Materials and Equipment
- All art materials and tools must be used in accordance with instructor guidance.
- Participants must not misuse equipment or engage in unsafe behaviour.
- Age-appropriate materials and tools will be provided for each class.
- Any hazardous materials will be clearly identified and supervised.
4. Participant Responsibilities
- Follow all safety instructions provided by instructors.
- Use equipment and materials responsibly.
- Report any unsafe conditions, hazards, or incidents immediately.
- Respect shared spaces to maintain a safe environment.
5. Medical Information and Allergies
- Participants or their parent or guardian must disclose any relevant medical conditions, allergies, or additional support needs prior to attending.
- Artz Academy will take reasonable steps to accommodate disclosed needs where possible.
- Participants must bring any required personal medication.
6. First Aid and Emergency Response
- A basic first aid kit will be available on site.
- In the event of an incident or injury, appropriate first aid will be administered.
- Emergency services will be contacted where required.
- Parents or guardians will be notified of any incidents involving minors.
7. Incident Reporting
- All incidents, injuries, or near misses must be reported to the instructor immediately.
- Incidents will be recorded and managed in accordance with WHS requirements.
- Serious incidents will be escalated as required under Queensland legislation.
8. Supervision
- All classes are supervised by a qualified instructor.
- Participants must remain within designated studio areas during sessions.
- Children must not leave the premises without appropriate supervision or sign-out procedures.
9. Studio Environment and Housekeeping
- Workspaces must be kept clean and free from hazards.
- Spills and waste materials must be cleaned promptly.
- Equipment must be stored safely after use.
- Walkways and exits must remain clear at all times.
10. Emergency Procedures
- Participants will be made aware of emergency exits and procedures where required.
- In the event of an emergency, all instructions from staff must be followed.
- Evacuation procedures will be implemented if necessary.
11. Illness and Infectious Conditions
- Participants who are unwell should not attend classes.
- Artz Academy reserves the right to refuse attendance where a participant poses a health risk to others.
- Reasonable hygiene practices must be followed by all participants.

Materials & Property Policy
1. Purpose

- Participants must not misuse, damage, or remove materials from the studio without permission.

4. Personal Materials
- Participants may bring their own materials where appropriate.
- Personal items are brought at the participant’s own risk.
- Artz Academy is not responsible for loss, theft, or damage to personal belongings.
5. Artwork Ownership
- All artwork created during sessions remains the property of the participant.
- Participants are encouraged to take their artwork home at the end of each session unless otherwise arranged.
6. Storage of Artwork
- Limited short-term storage may be available for unfinished work.
- Artwork left at the studio must be clearly labelled.
- Artz Academy is not responsible for loss or damage to stored artwork.
- Uncollected artwork may be disposed of after a reasonable period.
7. Damage to Property
- Participants are expected to take reasonable care when using studio materials, equipment, and facilities.
- Any damage caused through misuse or negligence may result in a requirement to cover repair or replacement costs.
8. Studio Property
- All studio equipment, furniture, and resources remain the property of Artz Academy.
- Items must not be removed from the premises without permission.
- Participants must follow all instructions relating to the safe use and handling of studio property.
9. Clean-Up Responsibilities
- Participants are expected to assist with basic clean-up at the end of each session.
- Workspaces should be left in a clean and safe condition.
- Materials and equipment must be returned to their designated storage areas.

Photography & Media Consent Policy
1. Purpose
This policy outlines how Artz Academy collects, uses, and manages photographic and video content of participants for promotional, educational, and operational purposes, in accordance with Australian privacy requirements.
2. Collection of Images and Media
- Artz Academy may take photographs and video recordings during classes, workshops, and events.

7. Identification of Participants
- Artz Academy will not publish full names or identifying personal information of participants without additional consent.

8. Withdrawal of Consent
- Consent may be withdrawn at any time by contacting Artz Academy in writing.
- Artz Academy will remove images from future use where reasonably practicable.
- Removal from previously published materials may not always be possible.

Program and Term Policy

7. Class Content and Changes

- Substitutions of instructors or minor scheduling changes may occur where required.
8. Missed Classes within a Term
- Missed classes are not refundable or transferable.
- Make-up sessions are not guaranteed and are offered at the discretion of Artz Academy.
9. Program Cancellations or Changes
- Artz Academy reserves the right to cancel, reschedule, or combine classes due to:
- Low enrolment numbers
- Instructor availability
- Venue or operational requirements
- Participants will be notified and offered alternative options where possible.
10. Introductory Offers and Promotions
- Introductory pricing or promotional offers apply only to the specified program or term.
- Ongoing enrolments will revert to standard pricing unless otherwise stated.
11. Participant Expectations

Instructor and Staff Policy

- Discrimination, harassment, or inappropriate conduct will not be tolerated.
4. Duty of Care

Child Safety and Supervision Policy

3. Blue Card Compliance
- All staff, instructors, and volunteers working with children must hold a current Blue Card.
- Blue Card status must be verified prior to engagement.
- Staff must comply with all obligations under the Working with Children (Risk Management and Screening) Act 2000 (Qld).
4. Supervision Requirements
- Children will be supervised at all times during classes and activities.
- Appropriate staff-to-participant ratios will be maintained based on age and activity type.

- Any concerns regarding a child’s safety or wellbeing must be reported immediately to management.
- Staff must follow appropriate reporting procedures in line with Queensland child protection requirements.
- Confidentiality must be maintained in all reporting matters.

3. Punctuality
- Participants should arrive on time for all sessions.
- Late arrivals may miss important instructions and setup activities.
- Classes will commence and conclude at the scheduled times and will not be extended for late arrivals.
4. Absences
- Participants or their parent or guardian should notify Artz Academy as soon as possible if they are unable to attend a session.
- Absences do not qualify for refunds, credits, or make-up sessions unless otherwise stated in the Payment, Refund and Cancellation Policy.
5. Early Departure
- Participants leaving a session early must notify the instructor where possible.
- For participants under 18 years, early collection must follow approved pick-up procedures.
- No adjustments to fees apply for early departure.
6. Participation Expectations
- Participants are expected to actively engage in class activities to the best of their ability.
- Respect for instructors, peers, and the creative process is required at all times.

7. Behaviour Impacting Participation
- Behaviour that disrupts the learning environment or affects the safety and wellbeing of others may result in intervention by the instructor.
- Ongoing disruptive behaviour may lead to removal from the session or program.
8. Communication
- Artz Academy encourages open communication regarding attendance or participation concerns.
- Participants and parents or guardians are encouraged to advise of any circumstances that may impact attendance or engagement.
9. Monitoring Attendance
- Attendance may be recorded for all sessions.
- Records are maintained for safety, communication, and program management purposes.

Code of Conduct (Studio Behaviour)

- All participants must treat instructors, staff, and fellow participants with respect and courtesy.

6. Following Instructions
- Participants are expected to listen to and follow instructions provided by instructors.

7. Appropriate Language and Communication
- Participants must use appropriate language at all times.
- Communication should be respectful and constructive.
- Disruptive or inappropriate language will not be accepted.
8. Personal Responsibility
- Participants are responsible for their own behaviour and actions.
- Personal belongings must be managed responsibly.
- Participants should contribute positively to the group environment.
9. Managing Behaviour
- Instructors will address inappropriate behaviour in a calm and respectful manner.
- Strategies may include verbal reminders, redirection, or discussion with the participant.
- For participants under 18 years, parents or guardians may be contacted if behaviour concerns arise.
10. Ongoing or Serious Behaviour Concerns

- Participants are responsible for managing their own medical requirements, including bringing necessary medication.
5. Limitation of Liability
- To the extent permitted by law, Artz Academy is not liable for:
- Personal injury, loss, or damage sustained during participation where reasonable care has been taken
- Loss, theft, or damage to personal property
- Nothing in this policy excludes rights under Australian Consumer Law.
